🤖 HR Telegram Bot | Self-Service Hub

📌 Project Overview

In fast-paced industries like construction and infrastructure, employees often struggle to access HR services quickly. This project eliminates the administrative bottleneck by putting HR tools directly into Telegram—a platform everyone already uses.

I designed and built an intelligent, stateful Telegram bot that handles user identification, a secure 3-step authentication flow, and a modular self-service hub for employees. The entire system is powered by n8n, using Google Sheets as a lightweight database and JavaScript nodes for complex business logic.

✨ Core Features

• Instant User Recognition: Automatically distinguishes between new and returning users upon sending /start.
• 🔐 Secure Multi-Step Authentication: Validates Employee Code, National ID, and Password against a live HR database before granting access.
• 🛠️ Employee Self-Service Dashboard: Authenticated users can launch dedicated workflows for:
  • Changing Passwords
  • Filling out Surveys
  • Accessing Pay Slips
  • Submitting Daily Commuting Reports
• State Management: Tracks each user's exact step (auth_step), allowing the bot to resume or redirect flows seamlessly.
• Modular Architecture: Core HR functions (Pay Slip, Survey, Attendance) are split into reusable sub-workflows.

🧠 The Workflow Architecture

The automation is broken down into three core processing stages to ensure scalability and maintainability.

1️⃣ New Message Processing

• Trigger: User sends /start.
• Action: The bot extracts the Telegram ID and compares it against the "User ID in DB" (Google Sheet).
• Decision:
  • New User ➡️ Appends the ID to the DB, sets status = Not authenticated, and sends a welcome message with a "Verify" button.
  • Returning User ➡️ Proceeds directly to the status check.
